= Introduction = | |
||
Audits, especially Remote Audits, can require the exchange of multiple documents and large files. | |
||
Exchanging large files and multiple documents can be problematic through e-mail for multiple reasons: | |
||
* E-mail size limits | |
* Restrictions of file types that may be transmitted through e-mail | |
||
To bypass these problems, TruCert is using a Cloud service hosted within TruCert's offices in Canada. The server is physically located in TruCert's server room in Nanaimo, BC, Canada. | |
||
Uploads are TLS encrypted between the uploader's web browser and our server. Different from most e-mail transmissions, the transmitted data is not handled unencrypted by IT systems outside TruCert's network and those of the uploader. | |
||
In addition, the link provided by TruCert only allows uploading, but not to view, edit, or delete the uploaded files, to ensure that, should the link become disclosed, it cannot be used to access the uploaded files. | |
||
= How to upload = | |
||
== The link == | |
||
The link you have received should look like this: | |
||
//**https:~/~/trucloud.trucert.com/index.php/s/p8nBQCpoFLiEJTs**// | |
||
The left part will always consist of: | |
||
//**https:~/~/trucloud.trucert.com/index.php/s/**// | |
||
Should the link not start with https:~/~/trucloud.trucert.com then DO NOT USE IT and contact your TruCert contact. | |
||
The right part, in the example //**p8nBQCpoFLiEJTs**//, is a random sequence of letters and numbers and is different from time to time and from uploader to uploader. | |
||
The link only works for uploading data into a folder dedicated to your company. | |
||
== The Upload Window == | |
||
When you click the link to upload files, your web browser should open a window that does look like this: | |
||
| |
||
Instead of //**YourCompanyName**// it should show your company's name in the upper left of the screen. If this is not the case, please contact your TruCert contact. | |
||
Some web browsers allow the upload via drag and drop, otherwise please use the //**+Upload**// button near the centre of the screen to select the files to upload. | |
||
Please note that the //**+New**// button in the upper left cannot be used to upload a file. | |
||
Once you have selected a file, the window will show that it is uploading the file with a progress bar: | |
||
| |
||
and then, hopefully, a success message similar to this one: | |
||
| |
||
The time for the upload depends on file size and the quality of the network connection between your laptop and our server, with the Internet in between. Normally the upload should be completed within a minute or so, and should not exceed 5 minutes. If your upload is not progressing visibly after a minute or two, please contact your own IT support or your TruCert contact. Some security system might prevent you from uploading files. | |
||
= Best practice to submit multiple files = | |
||
TruCert has configured the system such that the link e-mailed to you only allows upload of files, but not to list, view, edit, or delete the uploaded files. This is done to avoid unintended disclosure of your data should the link become disclosed. | |
||
This restriction has led to some people being uncertain which files they have uploaded and which they yet have to upload. | |
||
To avoid such confusion, we recommend the following procedure to upload multiple files: | |
||
1. Create an empty directory on your desktop, or in another location. Name the directory, for example "CEC Audit Evidences - YYYY-MM-DD", where you replace YYYY-MM-DD with the current date, for example 2027-07-15. | |
1. If you want, you can create a directory structure inside to organize the files. | |
1. Copy all the files you want to submit into this directory. | |
1. Once you have placed all the files you want into that directory, compress the whole directory into a .ZIP or .7Z file. | |
1. Upload the resulting .ZIP or .7Z file. | |
||
If you upload the same file twice, our system will create two files with the same filename, but distinguished by an added number. | |
||
If you accidentally uploaded a file you did not intend to upload, please contact your TruCert contact and ask for deletion of the file. | |
||
